Getting started

Bring your existing records to Arts in One.

Move your records at your own pace. Import people and donor records yourself inside your workspace, or choose free concierge help for a broader historical migration. Either way, you review the result before you go live.

Most groups put off switching because their current files hold years of names, sections, dues, and donor history. Retyping those records one by one is not realistic. Arts in One lets you import supported records yourself inside your workspace or ask us to handle a broader migration as a founding customer.

You remain in control either way. Self-service imports include column matching, a preview, and duplicate review before anything is created. If you choose concierge migration, we arrange a protected transfer method before you share files, then map and reconcile the records with you.

Import your data yourself

Inside your Arts in One workspace, upload a CSV or Excel (.xlsx) export or paste rows from a spreadsheet. The source file is read in your browser; only the records you confirm are written to your workspace. Match the columns, review the preview, resolve duplicates, and confirm when everything looks right.

Volunteer contacts, skills, and interests

Donor contacts and an opening giving amount

For detailed dues history, gift-by-gift history, or event history, concierge migration is currently the supported path. Download the roster template if you want a clean starting point for a self-service import.

What concierge migration can include

For founding customers who choose concierge migration, we can bring over the records that make your group your group. In a typical migration that means:

Performers, participants, employees, volunteers, board, and staff

Dues history, balances, and waivers

Donor records and gift history

Patron and audience mailing lists

Upcoming events and season dates

It all comes in from the files you can already produce: CSV or Excel exports from Chorus Connection, exports from Little Green Light, Google Sheets, or the workbook a volunteer built in 2013 with a tab per season. The files don't need to be tidy. Inconsistent section names, duplicate rows, and the member listed three ways are normal, and sorting that out is part of the service — we flag every judgment call for you instead of guessing.

How concierge migration works

  1. 1

Agree on a secure transfer method

Before you share anything, we confirm an access-controlled method, who may access the files, and when source copies will be deleted. Do not email files containing personal or financial information, and never share account passwords.
  2. 2

We map and import, you review

We match your columns to Arts in One, import the records into your workspace, and share a summary of what landed where, plus any questions. You review your own data and tell us what to fix.
  3. 3

Go live when it looks right

When the workspace matches your records, you invite your team and start using it. We delete working source copies on the schedule agreed before the migration began.

How your source files are handled

Sensitive source files are transferred through an agreed access-controlled method, not as email attachments.

We never sign into your old systems or ask for passwords. You export the data; we work only from the files you authorize.

Before transfer, we agree on who may access the files and when working source copies will be deleted after reconciliation.

Everything we import can be exported from Arts in One again. The migration service is free for founding customers; the subscription is priced normally.

Frequently asked questions

What can I import myself?

Inside your workspace, you can import roster, board and staff, volunteer, and donor records from CSV or Excel (.xlsx), or paste rows from a spreadsheet. Match the columns, review the preview and duplicates, and confirm the import without sending the source file to our team.

What does the concierge migration cost?

Nothing, for founding customers. The hand-done migration is our way of removing the biggest reason groups put off switching. Your Arts in One subscription is billed normally at the listed plan prices.

Do you connect to Chorus Connection or Little Green Light directly?

No. There is no direct integration, and we never sign into your accounts. You run the export yourself, then import supported records in your workspace or provide the files through the secure method agreed for concierge migration.

How do I transfer files for concierge migration?

We agree on an access-controlled method before you share anything, typically a restricted customer-controlled cloud folder or another secure file-transfer service. We confirm who may access the files and when working source copies will be deleted. Do not email sensitive records as attachments or share account passwords.

How long does a migration take?

Typically a few days from the time we have your files, including your review. Larger or messier datasets can take longer; if yours will, we say so up front rather than leaving you waiting.

Our spreadsheets are a mess. Is that a problem?

It's expected. Most of the files we receive have inconsistent section names, duplicates, and columns that changed meaning over the years. We flag anything ambiguous during your review instead of guessing, so the cleanup happens with you rather than to you.

What happens to our data if we later decide to leave?

You export it and take it with you. Your roster, dues records, donor history, and mailing lists can be exported from Arts in One at any time, in the same spirit they arrived: your data, portable, yours.
